Lead Notifications Going to Spam: Email Deliverability Basics

Thursday, 2:14pm: a homeowner submits your website's "request a quote" form. Your system dutifully emails you the lead details. The email lands in your spam folder. You find it at 8:40pm, after dinner. Why lead notifications land in spam

Your lead notification emails look suspicious to inbox providers for structural reasons, not content reasons:

The fix isn't better wording. It's authentication — the three DNS records that prove your emails are really from you.

SPF, DKIM, and DMARC in plain English

These are three entries you add to your domain's DNS settings (wherever you bought your domain — GoDaddy, Porkbun, Cloudflare, etc.). Each does one job:

Together: SPF says who can send, DKIM proves the message is authentic, DMARC tells receivers what to do with failures. All three are needed — each one alone leaves a gap.

The setup (one afternoon, permanent payoff)

  1. List every tool that sends email as your domain. Website forms, field-service software notifications, CRM, email marketing tool, invoicing. Each needs SPF authorization and DKIM signing.
  2. Add the SPF record. Your DNS gets one TXT record listing all authorized senders. Each tool publishes the exact value to add — it's in their help docs under "SPF" or "email authentication." One SPF record total (multiple records break it — combine them).
  3. Enable DKIM in each tool, add the keys to DNS. Each tool generates a DKIM key pair; you publish the public key as a TXT record. The tool signs; DNS verifies.
  4. Add a DMARC record starting at p=none. This puts you in monitoring mode — you'll get reports showing what's passing and failing, without affecting delivery.
  5. Test. Send test lead notifications from each tool to a Gmail address. Check they land in the inbox, then use a free authentication checker (mail-tester.com or similar) to verify SPF, DKIM, and DMARC all pass.
  6. After 2–4 clean weeks, tighten DMARC to quarantine. Now failing emails go to spam instead of the inbox — which protects your domain from spoofing and signals to providers that you're a serious sender.

Total time: 2–3 hours the first time, most of it waiting for DNS to propagate. It never needs redoing unless you add a new sending tool.
